Welcome to Harvard Medical School, Department of Cell Biology. As a new member of the Department of Cell Biology, we hope the following website will answer many of your questions and assist you during your transition.

Prior to Your Arrival

VISAS

International Scholars will be contacted prior to their arrival and will receive instructions to begin their visa process through Harvard University. Please visit the Harvard International Office (HIO) website for information regarding visas issued through Harvard: http://www.hio.harvard.edu

Your DS-2019 (J visa) is time sensitive. If your arrival date is delayed two weeks or more, please contact us so your visa documents can be corrected.

All international scholars must register with the Harvard International Office within 15 days of their arrival in the U.S.

Getting Started

Your Faculty Sponsor will arrange an appointment or request that you make an appointment with the Cell Biology Personnel Administrator. She will assist you with the necessary paper work for your appointment. Please bring to your appointment: a copy of your offer letter, your passport, visa documents, if applicable, CV, and your social security number (if you currently have one).

Staff members will be contacted by a Human Resources Representative who will initiate your payroll paper work.

All Harvard faculty, post-docs, students and staff members must have a picture ID. Your ID is required to access all HMS Buildings.

Your Harvard ID number will be assigned after the necessary paper work has been completed and submitted to Payroll. Your ID number will be e-mailed to you. Your ID card will be mailed to you.

SOCIAL SECURITY

To obtain a social security number you will require two of the following proofs of:

  • Age - birth certificate or passport.
  • Identity - passport, driver's license
  • U.S. Citizenship - U.S. birth certificate, passport, Certificate of Citizenship or Naturalization, or
  • Lawful Alien Status - DS-2019, I-766, I-551 or I-94

Please request receipt that you have filed for your social security and bring this letter to the Personnel Administrator for Cell Biology.

EMAIL

An email account will be automatically created within 3 working days after your appointment has been entered into the PeopleSoft system. Please contact the HMS IT Help Desk - 617-432-2000 after you have received your ID number for access to your email account. To access your email account, pin access is required. PEOPLESOFT

Peoplesoft is an integral part of the Harvard website. Within the PeopleSoft software, hourly employees can enter their time weekly, all employees can download their paycheck stub, change their home address, update their W-4 information, banking information, emergency contact information and view their benefits information. PeopleSoft is pin enabled. Please visit http://www.pin.harvard.edu click on PeopleSoft access and request your pin.

MAILBOXES

Mailboxes are located in Building C on the 5th floor between the LHRRB and SGM bridge.

LAB SAFETY TRAINING

All lab personnel are required to be certified in New Researcher Orientation and Radiation Safety. The New Researcher Orientation is held on the third Thursday of each month. Radiation Safety training is offered either online or by lecture. You may be required to take additional training courses. Please discuss with your supervisor what additional training is required. PROGRAM IN THE PRACTICE OF SCIENTIFIC INVESTIGATION (PPSI)

PPSI was established in 1990 by the Division of Medical Ethics. Five session seminars will cover the issues concerning authorship, data sharing, material transfer, agreements, peer review of manuscripts and grants, scientific fraud, and conflicts of interest and academic policies at HMS.

Dean Martin has mandated completion of the PPSI for all post-doctoral fellows working in laboratories in the HMS quad, regardless of funding. Attendees must complete 4 of the 5 sessions.
